Service Position Descriptions @ Eyeopeners
Service Position holders attend monthly Group Conscience meetings on the 2nd Saturday of the month, 9:15 AM to 10:15 AM, Alano Club Medium Room or online.

CHILDCARE COORDINATOR: Group Conscience Suggests (NOT insists):

Service Description: Not a paid position.
- Emphasis on training for the newly elected childcare coordinator provided by the coordinator who is rotating out.
- Oversee the bank account.
- Pay annual insurance.
- Pay and interview the childcare providers, ensuring their presence.
- Attending monthly group conscience.
- Maintain a prudent reserve of $200.00 in the bank account at all times.

Service Description:
-Represent EO Group in communications with the Boulder Alano Club.

Service Description:
- Maintain the supply of 24 hour, monthly and annual chips given out by Eye Openers.
- Assure there is an adequate supply of 24 hour chips in the basket. These chips are given out at every meeting.
- Assure there is an adequate supply of monthly (plastic), 12 month (bronze) and 18 month (bronze) chips available each Wednesday.
- In advance of the last Wednesday or Saturday of the month (whichever comes first), assure there is an adequate supply of all chips including annual (bronze) chips.
- When 24 hour or monthly chips (i.e. any plastic chips) are in need of resupplying, order them from our supplier.
- When 1 year, 18 month or other yearly chips are in need of resupplying, obtain them from central office.
- Turn in receipts for chips to treasurer to obtain payment for chips you purchase, or work with treasurer to pay for chips.
- Track counts, purchases, receipts, etc in the Chip Coordinator Notebook, located in the EO storage cabinet.

Service Description:
- Coffee Service Contact: Java Distributing: 303-494-6348. Stock Coffee & Filters every Thursday. Service: coffee machines, leaks, replace broken Pots, melted filter holders, repairs.
- Staff: coffee-makers/pourers/clean-up: Monday-Friday: One Person. Saturday-Sunday: Two People. Announce in meeting for volunteers. Draft up Schedule and Duties for cabinet.
- Stock/Purchase: Sugar, Creamer, Stirrers, Teas. Cyntex/Grocery: Stirrers, Artificial Sweetner. Celestial Seasons: Tea. Receipt to Treasurer for reimbursement.

DOOR GREETER COORDINATOR: Group Conscience Suggests (NOT insists):

Service Description:
- Obtain volunteers to serve as greeting persons for each Eye Openers AA Meeting, Monday through Sunday.
- Obtain volunteers to serve as assistant/alternate/backup greeters for each Eye Openers AA Meeting, Monday through Sunday.
- Remind greeters ahead of time to maximum extent possible without becoming a pain.
- Encourage greeters to be "in position by front door" from 20 minutes before the hour until approximately 3 minutes before meeting start time, Greeters are not expected to be late for meetings.
- Encourage greeters to get substitute or let coordinator know when they are unable to keep commitment.
- Make sure there are at least two Eye Openers Greeter name tags available on hook by front door bulletin board at all times.
- Rotate new members into Greeter service position as opportunity presents itself.
- Turn over Greeting Coordinator service position when replacement is found after approximately one year term.

FELLOWSHIP CO-COORDINATORS (two positions, one male, one female): Group Conscience Suggests (NOT insists):

Service Description:
- Work with EO members, other AA group members, Alano club representatives, and sobriety-driven external entities (like Phoenix) to manage an ongoing calendar of fellowship opportunities for EO members.
- Solicit regular input from the group to determine categories of activities that are of interest to members.
- Identify volunteers from the group to help lead specific fellowship activities.
- Make regular (weekly) announcements at EO meetings (and other meetings?) highlighting upcoming fellowship activities.
- Identify and manage additional ways to keep members informed of activities including: EO website, Alano Club website, Fellowship Calendar posted at Alano Club.
- Work with volunteers to track participation as a way to measure interest and inform decisions about future activities and opportunities.
GENERAL SERVICE REPRESENTATIVE (GSR): Group Conscience Suggests (NOT insists):

Service Description:
- GSR is the link for Eye-Openers to the whole of A.A. A trusted servant who is the conduit of information from District and GSO to the business meeting, and reports EO’s group conscience decisions at the monthly District meeting: 3rd Monday of each month, 6:30pm, First Baptist Church, 1237 Pine Street, Boulder.
- Attend four Area Assemblies a year. An assembly is a gathering of all the groups who chose to attend, GSRs and the associated DCM (District Committee Member). Our district is 24.
- At assemblies you will get a report from all the area chairs (corrections, public information, etcETC) and from the Area Delegate and once every two years you will vote on filling the area delegate(s) and their choices for open area chair positions (see the AA pamphlet GSR: The Most Important Job in A.A.).
ALTERNATE GENERAL SERVICE REPRESENTATIVE (AGSR): Group Conscience Suggests (NOT insists):

Service Description:
- Chair the monthly group conscience meeting (GC) adhering to Robert's Rules of Order.
- Open the GC meeting on time with Serenity prayer.
- Guide meeting through regular agenda as determined Secretary.
- Keep order in the meeting by calling on folks as necessary.
- Make sure meeting ends on time with Serenity Prayer.
- Attend monthly District 24 meeting if GSR is unable. 1st Baptist church, 13th and Pine, 3rd Monday, 6:30 to 8:30pm.
- Brief group on Eye Opener activities. Pickup handouts on AA events to share with Eye Openers at the next opportunity.
- May also attend Area and District gatherings around the state to accompany the GSR or as delegate.
GRAPEVINE REPRESENTATIVE: Group Conscience Suggests (NOT insists):

Service Description:
- Responsible for creating awareness of the recovery tool called "Our Meeting in Print".
- Keeping the lucite containers on the GV wall shelf supplied with recycled GV issues and subscription forms as well as online subscription information.
- Announcing at meetings the availability of the above materials and subscription information and remind people to recycle their old issues by placing them on the shelf.
- Read the handbook provided for this service position for ideas and seek to expand this role as he/she sees fit with consensus from the group conscience.
- Lead a meeting once a month by reading a GV published story and using it as a lead for the group discussion.
- Order bulk issues and pass them out to chip people at the last Saturday meeting of the month as a way of honoring those celebrating recovery anniversaries, and simultaneously promoting the GV. (Suggestion: write "Happy Birthday from Eye Openers" on each magazine cover.)
- Assume responsibility for carrying the message of AA by promoting through attraction to the GV publication, which exists only through written contributions by members of the fellowship, and is financially supported only through its subscription income.
INTERGROUP REPRESENTATIVE: Group Conscience Suggests (NOT insists):

Service Description:
- Attend InterGroup meetings, the body which governs central office and the message (local newsletter).
- Report IG meeting summary to Group Conscience.
- Announce Central Office service openings.
- Find IG volunteers from Eye Openers.
LITERATURE REPRESENTATIVE: Group Conscience Suggests (NOT insists):

Service Description:
- Maintain the EO locker stocked with Big Books & 12x12’s, the main literature of our program.
- Big Books & 12x12’s are provided by EO at no cost for members who cannot afford to purchase the books.
- Be available before and after meetings to provide members with literature upon request. Regular attendance to EO meetings is very important.
- All books are sold at the same price as purchased from central office, no markup is added.
- Maintain the meeting folder stocked with Newcomer Packets & Meeting Schedules, both are available at central office.
- Make sure there are enough books available for Tuesday’s Big Book and 12x12 Study meetings. It is recommended that a stock of 12 to 15 of each book be available. Books should be clearly marked as Eye Openers books to encourage all books returned at the end of each study meeting. - When requested by the Group Conscience, replenish pamphlets in main meeting room for the good of all newcomers.
- Literature rep may purchase books with his or her personal funds then be reimbursed by the group Treasurer with proof of purchase.
- Literature rep may also decide to purchase books with group Treasurer, if and when the Treasurer is available and agrees to do so.
- Any and all proceeds from book sales and donations must be given to the Treasurer for deposit in the EO account.
NIGHTWATCH COORDINATOR: Group Conscience Suggests (NOT insists):

Service Description:
- Eyeopeners is responsible for answering the phones for Central Office (main number for AA in Boulder District-24) on Sunday nights from 7PM until 7AM Monday morning.
- When an Eye Openers member signs up to cover a shift, the Central Office phones are forwarded to their phone during our assigned duty period only.
- Answering phones is a flexible service commitment for Eye Openers members. Its a great way for us to reach out to new folks interested in AA, visitors to the Boulder area, people returning from a relapse, or anyone who seeks AA information.
- A Nightwatch folder is given as a resource to folks covering shifts which contains important phone numbers (NA, Alanon, DeTox, etc), a 12th step call list, information about taking calls, AA Schedule, etc.
-Specific Night Watch Coordinator Responsibilities:
- Make sure the phones are covered every Sunday night from 7PM until 7AM Monday morning (that means YOU cover the phones if no one is signed up).
- Announce open shifts during meetings. - Maintain a volunteer schedule and let District NightWatch Coordinator know name and contact information of who will be covering phones for scheduled Sunday shift.
- Update Nightwatch packets as necessary, which means maintaining master copies of packet materials.
- Train service volunteers if necessary.

PHONE LIST COORDINATOR: Group Conscience Suggests (NOT insists):

Service Description:
-At least once a month, update to the list from the master mark-up copy in the blue EO folder.
- Email updated list to the Web Coordinator for archiving.
- Deliver copies of the phone list to the blue EO folder.
- Once a year, around March, go through list and call each person (delegate this service to others if needed). Remove old numbers, people who do not wish to be on the list or those who you know are no longer with the group.
- Enjoy this position; it is one that puts you in touch with other recovering alcoholics!
SECRETARY: Group Conscience Suggests (NOT insists):

Service Description:
- Announce and/or mail information about important A.A. activities and events.
- Create the Group Conscience meeting agenda and present copies to the meeting chair (Alt GSR) and other insterested committee members.
- Record minutes of Group Conscience meetings, and deliver to the Web Coordinator to post in the Web site archive.
- Keep a record of service positions tenure dates.
- Maintain bulletin board, post A.A. announcements, bulletins, newsletters, minutes and open service position descriptions.
- Make certain that the General Service Office and other service entities are informed, in writing, of any changes of address, meeting place, or group officers.
SPEAKER SEEKER: Group Conscience Suggests (NOT insists):

Service Description: -
- Schedule a speaker for each Friday 7am.
- At Eye Openers we like to have a mix of speakers. Try to balance speakers who are group members and speakers who are not group members.
- Be sure to get their number when you book them. Call to remind them a day or two early in case they forgot or can't do it. This allows time to find someone new.
- Make sure they know how to get to eye openers. It's hard to find if you've never been there.
- Have a few backup speakers in mind who attend Eye Openers in case of a no show.
- Try to get a variety of lengths of sobriety but usually at least one year.
- Suggest to the speaker that they share their story of recovery until sometime between 7:45 and 8:00.
- Ask speakers if they would like to chair the meeting. If so, brief them on how to open the meeting. If not, the speaker seeker should find someone else to chair the meeting, or chair it themselves.
- Plan on getting requests from the Eye Openers meeting from folks who want to tell their story. Turn down someone who has already told their story pretty recently. Accommodate someone with a birthday who has never spoken. It is up to the discretion of the speaker seeker.

- AA groups are fully self-supporting through their members’ voluntary contributions. Passing the basket at meetings usually covers the group’s monetary needs, with enough left over so the group can do its fair share of supporting the local intergroup (central office), the general service district and area offices, and the General Service Office.
-Group funds are ordinarily earmarked for such expenses as: Rent, AA literature, Coffee, Refreshments, and Local Meeting Lists, which are usually purchased from the nearest intergroup (central office), general service district, or area committee.
- Support of all AA service entities, usually on a monthly or quarterly basis.
- Maintain clear records (a ledger is helpful) and keep the group informed about how much money is taken in and how it is spent.
- Make periodic reports to the group and post financial statements quarterly. Problems can be avoided by keeping group funds in a separate group bank account that requires two signatures on each check. The flyer "The A.A. Group Treasurer" offers many other helpful suggestions.
- A.A. experience clearly shows that it is not a good idea for a group to accumulate large funds in excess of what is needed for rent and other expenses. It is wise, though, to keep a prudent reserve in case an unforeseen need arises (an amount to be determined by the group conscience). Group troubles also may arise when extra-large donations in money, goods or services are accepted from one member.
- The Conference-approved pamphlet "Self-Support: Where Money and Spirituality Mix" makes suggestions as to how groups may support AA services.
- Additionally, G.S.O., area and sometimes district committees and your local intergroup accept contributions from individual A.A. members. A.A. members are free to contribute whatever they wish, within the limits set by A.A. service entities. The maximum individual contribution to the General Service Office is $2,000 annually. Bequests or in – memoriam contributions of not more than $2,000 are acceptable on a one-time basis, but only from A.A. members. Check with other A.A. service entities for the maximum yearly contributions they accept.
- Some members celebrate their A.A. anniversaries by sending a gratitude gift to the General Service Office for its world services. With this "Birthday Plan," some members send one dollar for each year of sobriety, while others use the figure $3.65, a penny a day, for each year. Other members give more, but not in excess of $2,000 per year. For additional information, talk to your general service representative or contact G.S.O.
